What You’ll Be Doing

  • Own Order Processing & Fulfillment: Manage daily order queues in our ERP system (DOSS), fix order sync exceptions, monitor stock levels, and coordinate closely with warehouse and logistics partners to prevent stockouts.
  • Drive Invoicing & AR Collections: Ensure fulfilled orders are invoiced accurately on time, maintain aging reports, execute firm yet friendly payment follow-ups, and reconcile accounts in QuickBooks.
  • Streamline Operations & Support: Respond to routine order and shipment inquiries, keep clean financial/inventory records, document operational SOPs, and identify workflow bottlenecks for future automation.
  • Manage Marketplace & Wholesale Admin: Reconcile inbound marketplace shipments (Amazon/Walmart), file claims, complete new wholesale account paperwork, track product lot/expiry dates, and assist with month-end transaction coding.

Requirements What We’re Looking For:

  • 2+ years of hands-on experience in operations, order management, or administrative support (CPG, ecommerce, or food & beverage background highly preferred)
  • Proven proficiency with ERP/inventory systems (DOSS, NetSuite, Cin7, Fishbowl, or similar) and QuickBooks Online
  • Direct experience navigating Amazon Seller Central and Walmart Marketplace account upkeep and claim filings
  • Excellent written and verbal English communication skills, especially for firm yet professional payment collections and customer support
  • A strong habit of double-checking system output, noticing data discrepancies, and digging into the root cause of issues
  • Available to work full-time during US Pacific Time: 7:00 AM – 3:45 PM PT (Graveyard shift in the Philippines)
  • Available to start within 2 weeks from job offer

Technical Requirements

  • Comfortable using time-trackers (e.g., Time Doctor)
  • Own laptop/desktop, noise-cancelling headphones, and webcam
  • Reliable high-speed internet connection (at least 50 Mbps)
  • Available backup equipment/power supply in cases of power and internet outages
  • Proficiency with Microsoft Office tools (SharePoint, Outlook), Google Workspace, and communication tools like Slack
