Booking Coordinator

We're a boutique travel media and advisory company focused on design-forward hotels, meaningful travel, and highly curated client experiences.

Please apply only if both of the following are true:

  • You thrive in a collaborative, low-politics environment built on honesty, accountability, direct communication, and mutual respect. We expect people to own mistakes, flag problems early, and work through them without defensiveness, blame, ego, or drama.
  • You are exceptionally detail-oriented and genuinely enjoy operational complexity. This role involves many moving pieces, and small mistakes matter. We will test your attention to detail and organizational skills during the hiring process.

You'll work closely with our Head of Client Experience & Operations, and because we're a small company, you'll have meaningful ownership from the beginning.

What You'll Do

  • Manage luxury travel experiences from initial inquiry to post-trip follow-up.
  • Conduct client calls and create personalized proposals and itineraries.
  • Handle bookings, payments, revisions, transfers, and VIP arrangements.
  • Coordinate directly with hotels, DMCs, tour operators, and other travel suppliers.
  • Maintain CRM data, booking records, workflows, and client communications.
  • Support clients during travel and resolve issues proactively.

What We're Looking For

  • Fluent English, written and spoken.
  • 2+ years of experience in luxury travel planning, travel operations, reservations, or high-end hospitality.
  • Hands-on experience managing end-to-end travel bookings and complex itineraries.
  • Strong experience with travel CRMs, booking platforms, and client management systems.
  • Excellent client communication, organization, and problem-solving skills.
  • Ability to manage multiple trips independently with strong attention to detail.
  • Quick to learn new software and comfortable using AI in your daily workflow. We use AI for writing and AI agents to streamline repetitive tasks, which frees up time for the work that needs our attention, and for the things that matter outside of work. We see AI as a practical way to work smarter, as long as we know how to use it well.
  • Genuine interest in luxury hotels, travel, and design.

Experience with VIP clients, hotel reservations, guest relations, and preferred hotel partner programs is a plus.

How We Work

We're a small, collaborative team that values ownership, initiative, clear communication, attention to detail, and accountability.

Role Details

  • Full-time and fully remote, from anywhere in Latin America or Europe.
  • Flexible 40-hour week with a weekday off of your choice, balanced by light weekend coverage (our clients travel on weekends too), plus one full weekend off each month.
  • Immediate start.
  • Contract-to-hire, with compensation based on experience.
  • Performance-based bonus, with potential equity after the initial evaluation period.
